President-The duties of the president shall include chairing meetings of the officers. He/She shall prepare the agenda for each meeting and insure meeting agenda is adhered to. The president shall prepare all correspondence for the league. The president will authorize checks and will oversee all financial disbursements. The president will vote only in the event of a tie between officers or the board of directors. The president will assure that the duties of the officers are properly carried out. In addition the President will be the ambassador when the situation requires that League be represented at various events in the community. The President will also be responsible for the coordination/delegation and direct involvement of all related actives such as annual camps; fund raising and any other community events. The President shall also be responsible for enforcing all conduct.
In the event the President cannot fulfill his responsibilities and authorities of position will succeed to the Vice-President and League Director.
Executive Board
Vice President/League Director shall be representative of the WYFCL at the monthly meeting of the OCYFL. The Vice president will represent the wishes of WYFCL in an unbiased manner. The Vice President will obtain copies of the OCYFL minutes for review if the WYFCL board and/or its membership request them. The Vice President will have the right to vote on matters concerning WYFCL at the OCYFL meetings.the The director will insure that the interests of WYFCL are addressed at the OCYFL level and shall keep the officers and directors informed of all issues covered each month in the meetings of the OCYFL. The league director is responsible for coordinating referees for the season. He/She will also be responsible for authorizing checks. Additionally the position will will be responsible for the coordination/delegation and direct involvement with all WYFCL actives such as annual camps, fund raising and any other community events. This position carries one vote for all issues brought before the WYFCL Board of Directors.
Secretary will assure that the Corporation is in full compliance with the requirements of the organizations state filings as a 401(c.)(7.) not for profit organization. In this process, the position will assure any correspondence required is completed and forwarded to the necessary parties. The Secretary will work in conjunction with the Treasurer to assure that all the stage and federal tax filings and requirements are meet each year. The secretary shall keep meeting minutes and shall distribute copies of the previous meeting minutes prior to the start of the next meeting. The secretary shall keep track of all open items and on the previous agenda's to assure proper closer. The secretary is responsible for all WYFCL mailings to its members. The secretary will be the official custodian of the records and the seal of the organization. The secretary shall maintain the league membership roster and all business related issues. The position carries one vote for all issues brought to the WYFCL Board.
Treasurer is responsible for keeping the financial records of the league. The duties shall include signing and dispersing checks for board authorized expenses, reconciling all checking and savings accounts, responding to the request of the the appropriate officers with respect to expenditures of the organization, presenting financial status reports at each board meeting. The Treasurer is responsible to assure that the appropriate controls are in placed and operating and that except for the instances approved by the officers, all payments by the league are remitted directly to the vendors, after the proper purchase orders and controls have been utilized. The position carries one vote for all issues brought to the WYFCL board.
Director Positions
(all positions carry one vote*)
Football Coaching Director-This position is responsible for coordinating the recruitment, screening and assessment of coaching applicants for WYFCL..They will work with the directors and officers of the league to set a standard of experience and capability for coaches who will be interacting with the children participating the athletic program our league offers. They Director of Coaching will also determine the coaching techniques of all teams and to ensure that the WYFCL philosophy is effectively communicated and adhere to by all the coaching staff at all levels. The coaching Director will coordinate and conduct periodic meeting between coaches of all levels insure that there is uniformity in technique and education of the children. They will also serves an interface between the WYFCL board of directors and coaches. The director of coaching will also be responsible for proper training and certification of coaches as designed by officers of the WYFCL. The Director of coaching will play a major role in any event that requires training processes and techniques, such as annual camps and clinics. The director of coaching will have close ties to the Vice -President and will represent WYFCL in OCYFL matters if the Vice President is unavailable. The Coaching Director will be responsible for initiating disciplinary action when required by the Board of Directors and its Officers
Cheerleading Director- Will be responsible for all activities related to cheerleading and will prepare a budget for these actives. The director of cheerleading will make reports to the board and its membership but will incur no obligations, financial or otherwise without consent of the WYFCL board. The director of Cheerleading will be responsible for inventory, upkeep, and rendering uniforms in a timely manner.The Director of Cheerleading is responsible the coaches of each team and overseeing the conduct and technique of these coaches, and will be responsible for initiating dispensary action as per the WYFCL Board of Directors and its officers. The Director of Cheerleading will follow guidelines established by the Board and may be assisted by as many as required and board approval. A Cheerleading assistant can be appointed but needs board approval. The Cheerleading Director is also responsible for any OCYFL cheerleading interaction, such as monthly meetings.
Director of General Managers-The GM director will will coordinate communication between the Board of Directors and/or Officers to each teams GM( team parent) This position will assure that each team GM maintains current , accurate and balanced team rosters, and will notify apropriate board members immediately of changes. Collect all medical information, birth certificates, releases kept them current in a team file in addition to WYFCL secretary. Prepare OCYFL rosters and books for each team in the league along with secretary. Communication between WYFCL membership and board is handled effectively. Parents are appraised of their volunteer duties and with respect to ancillary functions that keep this league operating efficiently during the season.
Director of Equipment- This position is in charge of chairing any appropriate committee to maintain Football and Cheerleading uniforms and equipment. Major functions include: Maintain safe operating condition of all athletics and concession equipment. Maintain asset and inventory control. Oversee assignment and collection of collection of equipment. Notify board of what items need to be purchased or replaced in order to maintain inventory. Work with coaches on there equipment needs as well as the Coaching director on needs of WYFCL in general.
Fund Raising Director- The director of fund raising shall coordinate and implement all all fund raising activities such as raffles, advertising, boosters and any other programs deemed appropriate by the WYFCL. The Fund raising director will work in conjunction with the GM and the Director of Special Events to ensure proper communication and success of our fund raising efforts.
Director of Concession- Will work with the Director of GM's to coordinate volunteer duties for the concession stand operation. Oversee the operation of the concession stand and the volunteers used to run the concession stand. The Concession stand Director is accountable for the inventory and stocking of concession goods within the budget to allow for sale of foods and goods. They will oversee proper operation and safety of the concession stand.. The concession stand director is also responsible for scheduling opening and closing when ever it is used for league purposes.
Director of Field Operations- Shall be responsible for the preparation of the ball fields and and field related activities before and after games. They shall be responsible for the set-up and brake down (including trash removal) of each field. They are also responsible for the ensuring the positions of Scorekeeper, timer, and chain crews are filled at each game. The field director will perform other duties as required by the WYFCL Board of Directors.
Director of Special Events- Shall be responsible for coordination all WYFCL Special Events such as registration, banquets, clinics, skills day, pictures etc. They will ensure proper notification of events by interfacing with internal (GM and Secretary)and external (OCP advertising and poster printing) sources. They will also work with Merchandising Director in placing special orders( trophies or T-shirts) for these events. They will also bring to the board the catering and DJ contracts for approval.
Director of Merchandising- Is responsible for the ordering football jerseys and number assignments of the football jersey. They are also responsible for providing samples of the merchandise to be sold such as jackets, sweatshirts, sweatpants, T-shirts etc. They are responsible for taking orders on items and delivery of items. They also will maintain the merchandise inventory and coordinate delivery from vendors.They will also work with Special Events Director on ordering coaches gifts, trophies etc.
